What exactly are medical images and imaging techniques?

Medical images are created by imaging procedures such as X-rays, ultrasound (sonography), MRI, CT etc.

What does a medical report or doctor's letter say?

In a medical report, the attending physician describes his or her findings on the examinations performed as well as his or her impression of your physical and mental condition. With HealthDataSpace you can store your digital findings and make them conveniently available to others, e.g. to obtain a second opinion from a specialist.

Do I have a right to receive my images and findings from the doctor?

In principle, every patient has the right to inspect his or her patient file with the findings contained therein. However, you are responsible for any costs incurred for copies and transcripts. The radiologist may also charge a fee for making a patient CD on which your digital images are burned. With HealthDataSpace you can store all your digital findings and medical images, view them anytime and anywhere, as well as „share“ them in a protected way with others, e.g. to get a specialist’s opinion. Basic membership of HealthDataSpace is free of charge for patients and doctors.

Do I only get my medical data from the doctor for a fee?

Any doctor with whom you have a patient record may charge for copies and transcripts of your findings. Similarly, your radiologist may charge for a patient CD containing your medical images. Patients and doctors use HealthDataSpace free of charge with Basic Membership.

What is HealthDataSpace?

HealthDataSpace is the health cloud with a data protection seal of approval. Patients can use it to store medical images, findings and other health data online in a protected way and share them with others.

What can I do with HealthDataSpace? What functions are there?

With a user account at HealthDataSpace, you can store your medical data (images and findings) online. You can read through your findings and doctor’s letters or view your medical images (e.g. X-ray or ultrasound images) with the integrated image viewing tool. Or you can download your images and findings to your computer or notebook. You can access this data anywhere and at any time. All you need is a current Internet browser. You can give other people protected online access to your medical data thanks to the „Sharing“ function.

How many examination images can I store in the free HealthDataSpace?

How many DICOM images an examination comprises and how large these images are depends largely on the type and detail of the examination. Ultrasound, for example, produces image data with a size of about 5 MB. For an X-ray examination, it is about 30 MB. Significantly more or larger images are produced by CT, MRI and mammography. A single examination can produce 200 MB or even larger image data. In the free HealthDataSpace you have 1 GB of storage space. And 1 GB is 1024 MB. So you can imagine approximately how many examination images you can store in your free HealthDataSpace.

What advantages does the paid PREMIUM account offer me?

A paid PREMIUM account gives you more storage space in HealthDataSpace for your medical data.

How secure is my medical data in HealthDataSpace?

All medical images and findings are stored in data protection-compliant data centres in accordance with the EU-DSGVO and are encrypted beforehand with a public and private key procedure. The operator has no access whatsoever to this health data. The patient determines how and for what purpose his or her health data is used. In the context of co-treatment and further treatment, physicians may exchange the medical data of a joint patient with each other.

How do I get the HealthDataSpace app?

The HealthDataSpace app for your smartphone or tablet is available free of charge in the App Store (iOS) and the Google Play Store (Android).

The HealthDataSpace app doesn't work. What now?

Please delete the app completely from your device and also remove all data from the app. Then download the app again.

How do I register for the HealthDataSpace app?

Install the free HealthDataSpace app on your smartphone or tablet. Now enter your email address and assign a password of your choice. After that you are logged in.  

Where do I enter my access code?

Install the HealthDataSpace app free of charge on your smartphone or tablet. Then register for HealthDataSpace. Then press the round green button with the plus sign on it at the bottom right. A new page will open where you can enter your personal twelve-digit access code and then press CONFIRM CODE. Alternatively, press SCAN QR CODE to scan your personal QR code. 

Where can I find my health data?

Select the menu item MY DOCUMENTS in the navigation bar at the top left. Now you can see all the health data stored in your account – both pictures and documents.

How do I download my health data?

To do this, select the menu item MY DOCUMENTS in the navigation bar at the top left. Now click on the button at the bottom right of the corresponding document. Now a new window opens asking you if you want to download all files. To confirm this, click on DOWNLOAD.

It is important that you download the JPEG image data first and then the DICOM image data. Please be patient until both downloads are completely finished. Please do not interrupt the download.

How do I associate my health information with my HealthDataSpace account?

To do this, first scan your QR code or enter your access code at hdscode.de. Now download your DICOM and JPEG data.

Then log in to your HealthDataSpace account or register new. Now install the HDS Manager under the DOWNLOADS menu. Now upload your exam images previously downloaded from the HealthDataSpace app to your HealthDataSpace account using the HDS Manager.

How do I delete my health data?

To do this, select the menu item MY DOCUMENTS in the navigation bar at the top left. Now select the desired file and click on the button with the three dots at the top right. Now a new window opens. Click on DELETE to irrevocably remove the selected file from your HealthDataSpace account. Click on DELETE FROM TELEPHONE to remove the file you previously downloaded to your smartphone or tablet from your terminal again. 

How do I print my documents?

In order to print out your documents, e.g. findings, you must first download the corresponding document to your smartphone or tablet. To do this, select the menu item MY DOCUMENTS in the navigation bar at the top left. Now click on the button at the bottom right of the corresponding document. A new window will open asking you if you want to download all files. To confirm, click on DOWNLOAD. Now you can print the downloaded document. To do this, look in your DOWNLOADS, DOCUMENTS or FILES folders. 

How do I log out?

To do this, select the menu item MY ACCOUNT in the navigation bar at the top left. Now press the REGISTER button.

How do I change my password?

To do this, select the menu item MY ACCOUNT in the navigation bar at the top left. Now press the CHANGE PASSWORD button.

How do I delete my account?

To do this, select the menu item MY ACCOUNT in the navigation bar at the top left. Now press DELETE ACCOUNT.

ACCESS & QR CODES

What do I do with the access code / QR code on patient CDs, findings, etc.?

Either scan the QR code with your smartphone. You may need a special app for scanning QR codes to do this. Or go to www.hdscode.de and enter your twelve-digit access code consisting of numbers and letters as well as your date of birth.

Important: Before you can download your exam images from HealthDataSpace, you must first scan or enter your access code or QR code as described above. 

It is important that you download the JPEG image data first and then the DICOM image data. Please be patient until both downloads are completely finished. Please do not interrupt the download.

Why do I need to enter my date of birth?

We have increased security and introduced two-factor authentication. For you, this means that in addition to your twelve-digit access code consisting of numbers and letters, you now also enter your date of birth.

Why do I not see any pictures or findings yet?

If you do not see any images or findings after entering the access code, please contact your radiology department.

My access code expired. What now?

HealthDataSpace access codes expire after approximately 30 to 90 days. This setting may vary depending on your radiology. Please contact your radiology practice about this. They can issue you with a new access code at any time.

What do I have to do to view my data after the deadline?

First of all, open a full HealthDataSpace user account by registering accordingly with your email address at: https://app.healthdataspace.de

Then connect your access code with your user account by using the „Data Import“ in the „Info Centre“.

How do I connect my access code with my user account?

REGISTER & LOG-IN

I cannot register or log in. What now?

Allow cookies as well as Java script permanently for our website by adjusting your browser settings accordingly. Please use an internet browser of the latest generation such as the current Google Chrome, Mozilla Firefox, Safari, Internet Explorer or Microsoft Edge. To do this, update your browser if necessary by performing updates. Use mobile devices (tablet, smartphone, etc.) with an iOS (iPhone, iPad) or Android (e.g. Samsung Galaxy) operating system.

Before you sign up or log in for the first time, you must register. After registering, you will receive your HealthDataSpace pass or, if applicable, a HealthDataSpace card from your local doctor. You will also receive an automatic email. When registering, make sure that you have entered your email address correctly and without typing errors. If necessary, also check the spam or junk folder in your email inbox. You can only activate your user account by following the link in the activation email sent automatically by HealthDataSpace. Now enter your activation code, which you will find on your passport or card. Then enter your personal password.

After you have activated your user account, log in with the password and user name you have assigned or log in at: app.healthdataspace.de

I have not received an activation email. What now?

Check the spam or junk folder and the recycle bin of your email inbox. If you do not find the activation email there either, you or your radiology may have entered your email address incorrectly during the registration process. In this case, simply register again with HealthDataSpace using your correct email address and inform your radiology department.

I have forgotten my password? What now?

You can set a new password at any time with your activation code. You will find your activation code on your HealthDataSpace Pass or HealthDataSpace Card. You received this document when you registered your user account.

I have forgotten my activation code? What now?

You have not yet activated your user account with your activation code? After 4 weeks, your HealthDataSpace account will be automatically deleted, after which you can create a new user account with your email address. You can create a new account with a different email address at any time.

You have already activated your account and have forgotten your password and activation code? Now you only have the possibility to reset your user account. However, all medical data and any premium memberships from your previous account will be permanently lost. No information from your previous user account can be transferred to your new HealthDataSpace account. Go to the HealthDataSpace login page and click the „Forgotten Password“ button. Now enter your email address in the new input field that appears and click the „Forgot activation code“ button. You will then receive an email to reset your user account. Now you can register for HealthDataSpace again with your email address.

What do I need to use HealthDataSpace?

To use HealthDataSpace, you need a valid email address, internet access and an internet-enabled device (computer, laptop, tablet, smartphone, etc.).

What is the best internet browser to use?

HealthDataSpace can be used with most popular browsers such as the latest versions of Google Chrome, Mozilla Firefox, Safari, Internet Explorer or Microsoft Edge. We recommend using the latest generation of internet browsers. If necessary, update your browser by checking for and performing updates in the browser settings.

Which mobile device (tablet, smartphone) is best for me to use?

As HealthDataSpace is based on HTML5 and runs directly in the internet browser, the operating systems iOS (iPhone, iPad etc.) and Android (e.g. Samsung Galaxy) are supported for mobile devices. All you need is a current Google Chrome, Mozilla Firefox, Safari, Internet Explorer or Microsoft Edge web browser.

Why do I have to state my gender and date of birth?

This additional information is necessary to ensure that your medical data is correctly associated with your HealthDataSpace user account when you visit your radiology.

My email address was typed in incorrectly when I registered. What now?

In this case, please contact your radiology where your HealthDataSpace user account was opened. If you have registered yourself online for HealthDataSpace and you made a typing error when entering your email address, simply open a new user account with the correct email address.

Why do I have to allow cookies to log in?

When you call up images and findings from your HealthDataSpace account in your internet browser, they are fetched from our server in the Telepaxx data centre. Your medical data is stored there in encrypted form. During the login process, our server accepts your user name and password and sends your browser a so-called session ID in the form of a cookie (here: JSESSIONID). Now the server remembers which session ID belongs to which user. The browser automatically sends your cookie to the server with every request. This saves a lot of time, but is just as secure as the process of checking the user name and the multiple-encrypted password again with every request.

How do I delete my user account?

If you have not yet activated your user account, it will be automatically deleted after a certain time.

You have already activated your account? Log in to your HealthDataSpace account and press the button „Delete account“ under the menu item „Profile“ in the main menu bar (3 stripes) on the top left and then confirm your intention to delete.

You have already activated your account but have forgotten your password and activation code? To reset your user account, go to the login page and click the „Forgotten password“ button. Now enter your email address in the newly appearing input field and click on the button „Forgotten activation code“. You will then receive an email to reset your user account. All medical data contained in the account will be irrevocably lost.

VIEWING & SETTINGS

I cannot open downloaded findings? What now?

In HealthDataSpace, text files are saved in the PDF file format by default. This format can only be opened with an appropriate programme. Download a PDF reader or update your existing one.

I cannot view pictures? What now?

Please use Windows 10 with the latest version of Google Chrome or Mozilla Firefox. If necessary, update your browser by checking for and performing updates in the browser settings. We do not currently support other operating systems or browsers.

If you still do not see any images, please contact your radiology. They will be able to check your data and issue you with a new HealthDataSpace access code if necessary.

The decryption of images is very slow? What now?

We attach great importance to data protection and data security. Due to these high security requirements, the data must be decrypted on the target system. The decryption of the data takes place within the browser and this is currently the limitation. Unfortunately, it is currently not possible for us to maintain full system performance of this process.

Where can I change my personal information?

Log in your account under: https://app.healthdataspace.de

Click in the „Info centre“ on „Profile settings“. There you can change your details. First name and surname are not necessary for registration and can therefore not be changed.

UPLOAD & DOWNLOAD

How can I download my medical data?

Enter your access code and date of birth at: www.hdscode.de

After that, your examination data will be on the left-hand side. Press the „Download arrow“ (white arrow with a base underneath). Afterwards, first the JPEG files and then the DICOM files will be downloaded. Do not abort this process or reload the page, otherwise no further download will take place.

Alternatively, log in with your email address and password at:
https://app.healthdataspace.de

Click on „Cases“ in the „Info Centre“. Select the relevant case on the left and then click on the „List“ tab -> „Download all“. You must carry out this process for each case individually.

In just three steps, you can use the download function for all medical data set by your radiology department.

1. install the HDSManager program: In your HealthDataSpace user account, click on the „Download“ button next to the corresponding image or finding in selection mode. A new window will now open. If not, check your browser settings and make sure that the pop-ups from our site are allowed.

2. Press „Install now“: Depending on your browser, you may have to confirm the download of the HDSManager.

3. Press „Download“: After you have successfully installed the HDSManager, click on „Download“ in the dialogue window that is still open. A new window opens. Place a tick in the appropriate place and click to confirm that you wish to continue. Now your selected image or your findings will be downloaded.

How can I upload medical data?

If you want to upload existing DICOM images (X-ray, CT, MRI, etc.) from your patient CD to your HealthDataSpace user account, you can easily do this in just three steps:

1. install the HDSManager programme: To do this, click on „Upload data“ in your personal user account in the main navigation bar. Now a new window will open. If not, check your browser settings and make sure that the pop-ups from our site are allowed.

2. Press „Install now“: Depending on your browser, you may have to confirm the installation of the HDSManager. After successful installation of the HDSManager, authenticate yourself in the opened dialogue window with your email address and password.

3. Upload medical data: Now upload the image or text files from your computer or patient CD to your user account.

I cannot install the HDS Manager. What now?

The HDS Manager is only released for Windows. Those who wish to use the HDS Manager with Mac or Linux operating systems can do so at their own responsibility with a so-called emulator or a virtual machine. With the HealthDataSpace access codes, there is the option in the browser to click on the „Download“ icon and download a ZIP file with the original DICOM data.

SHARING & SECOND OPINION

What do I need to make my medical data available to others online?

To share your medical data with others, all you need is the recipient’s email address and a device with internet access – this can be a computer, tablet or smartphone. The recipient receives a so-called share mail from you with a link. In addition, you send the recipient the password you assigned for this link in a separate way. Now the recipient opens his or her own HealthDataSpace user account (if he or she does not already have one) and can then access the data you have shared for viewing.

Someone sent me a share mail with a link. What do I do with it?

Someone wants to show you their medical data and has therefore sent you an email from their HealthDataSpace account. Follow the link in the email and enter the password that was given to you separately by the email sender. If you do not already have your own HealthDataSpace user account, create one now. If you cannot access the medical data, make sure that you:

  • use a PC or mobile device with a latest generation internet browser.
  • update as necessary to keep up to date.
  • use a mobile device (tablet or smartphone) with an iOS or Android operating system.

How do I get a second medical opinion online?

To obtain a second medical opinion using HealthDataSpace, upload your medical images from your patient CD to your HealthDataSpace user account (if your radiology has not already done this for you). You then share this data with a specialist of your choice. To do this, you will need the email address of the specialist who has previously agreed to perform your secondary diagnosis. After you have contacted the radiology of your choice and asked for an online second opinion via HealthDataSpace, the radiology will explain all further steps to you.

How do I purchase a PREMIUM account to get more storage space?

You can purchase a paid PREMIUM account in our HealthDataSpace webshop. To do this, click on the sub-item „Manage storage space“ in the main navigation at the top left. On the corresponding sub-page, click on the „Webshop“ button on the right. Now a new tab opens with the webshop.

How do subsciptions work?

When purchasing a PREMIUM account, there are two options per checkbox:

  • You can buy a PREMIUM account once. This is valid for 1 year.
  • You can buy a PREMIUM account that is automatically renewed every year. (Subscription). If you choose a subscription, your PREMIUM account will be automatically renewed every year for another year. Your annual invoice will be sent to you automatically in this case. Your subscription can be cancelled at any time in the HealthDataSpace webshop.

How long is the cancellation period?

You have the legally prescribed 14-day cancellation period. This means: If you have changed your mind, you can lodge an objection with us within 14 working days of concluding the purchase and thus withdraw from the purchase without any problems. Your already paid purchase amount will then be refunded to you.

How secure is it to use your webshop?

To enable you to shop safely, we have taken the following security precautions:

  • secure payment with SSL encryption
  • secure purchase via PayPal possible
  • 14 days cancellation period guaranteed

How do I redeem vouchers?

If you are registered as a patient with HealthDataSpace, you can easily redeem vouchers in the HealthDataSpace webshop.

  1. Go to the redeem voucher button.
  2. Enter your personal voucher code in the field provided.
  3. Now the storage space expansion for your HealthDataSpace user account will be carried out.
  4. Under „Menu“ -> „Manage storage space“ you can see whether this process was successful.

Can I combine PREMIUM accounts with different storage space extensions?

No, the different storage space extensions cannot be combined with each other. Only the last PREMIUM account purchased is valid. Each PREMIUM account with a specific storage space extension is valid for 1 year from the date of purchase. In concrete terms, this means: To get more storage space, buy a new PREMIUM account with a higher storage space extension.

Where can I file a complaint?

The first point of contact for all problems relating to the HealthDataSpace webshop is our customer service. Complaint procedure via Online Dispute Resolution for Consumers (OS) at: https://ec.europa.eu/consumers/odr. Consumers can turn to the aforementioned online dispute resolution platform to settle disputes.
